Job Description

JOB SUMMARY

The main office administrative assistant is often the first person someone sees when entering our school and interacts with our staff and students as they go through their day.  This role will require someone who can keep their finger on the pulse of everything happening at the school. The administrative assistant must be adept at multitasking and problem solving while monitoring the doors as students transition between classes, tracking attendance, and managing the phones. As the key point of interaction at the school, the receptionist is expected to be professional, maintain composure and a positive, friendly attitude at all times.   When faced with unusual requests from guests and/or families, the receptionist is expected to determine the best way to meet the requests, or to deny those requests if necessary in a calm, but firm, manner.  IACS is devoted to hiring candidates with marginalized and oppressed backgrounds. RESPONSIBILITIES

General duties:

- Answer phones and attend to voicemails
- Point person for questions and issues from parents and staff
- Handle all aspects of attendance:  late arrivals, early dismissals, attendance report from teachers, print attendance lists for teachers
- Check and respond to email in a timely manner
- Update electronic and weekly Head of School announcements
- Assist with mail processing
- Maintain a tidy lobby
- Greet and sign in guests, maintain awareness of locations of guests for security and safety purposes
- Liaison to community for faculty and staff
- Perform office duties at evening events Summer Ice Cream Social, Quality Nights, Info Sessions as necessary.
- Other administrative tasks to provide support to staff as necessary
- Emergency preparedness  

QUALIFICATIONS

- Professional, responsible individual
- Excellent interpersonal communication skills including written, spoken and telephone communications
- Ability to identify critical or emergency items/requests which require leadership action
- Basic proficiency in utilizing word processing, spreadsheets and e-mail
- Experience with X2 or a similar school database a plus
- Must pass CORI/SAFIS background checks
- Pay range: $15-18 per hour / 20-24 hours per week expected (shift flexibility necessary)
