Office Coordinator - Lowell MA

Nobis is looking for a fulltime Office Coordinator to join our Lowell MA team. We are looking for a problem solver with excellent communication skills and impeccable attention to detail. This person will have previous experience working in an office environment performing administrative tasks, supporting vendor management, and providing support to coworkers. The ability to multitask, manage complex schedules, and meet changing deadlines and to work within a team as well as independently is essential to this position.

Essential Functions:
?    Ensure optimal operation of equipment, supplies, and inventories with preventative maintenance to support uninterrupted work;
?    Provide information, answer questions, and respond to requests from employees and clients;
?    Work with project teams to coordinate internal and external sources to expedite workflow for administrative requirements such as letters, memos, reports, tables, bookmarking of documents, transmittals and uploading, and other business documents as requested;
?    Provide general administrative support including answering and directing phone calls, email correspondence, filing, taking and transcribing meeting minutes, mailing and deliveries, and coordinator of meeting rooms and calendars;
?    Assist/direct vendors including Enterprise Rent-a- Car, Pace/Con-Test Analytical Labs, US Enviro and Pine Equipment deliveries;
?    Ensure office, kitchen, conference rooms, mail rooms, and communal areas are clean, stocked, and organized;
?    Assist with organizing and setting up events on-site and off-site for meetings, trainings, celebrations, company lunches, etc.;
?    Assist President/CEO and managers with administrative tasks or projects as needed; and
?    Must be flexible to work in either Lowell, MA or Concord, NH office as needed.

Position Requirements:
The ideal candidate will have:

?    A positive attitude and an upbeat personality to engage with our staff, clients, and
?    vendors - you are their first impression of Nobis;
?    Proven administrative experience, with the least of 5 years related administrative experience and/or training; or associate degree from a 2-year college
?    Strong time-management skills and multitasking capabilities;
?    Advanced proficiency in MS Office and Windows, and the use of PDF software as well as navigating the Internet; and
?    Ability to handle confidential information.
