Summary of Position
Girls Inc. of Greater Lowell is seeking a motivated and detail-oriented Finance and Operations Coordinator to join our dynamic team. This person will play a critical role in helping to ensure the smooth functioning of our organization's financial and administrative processes.
Essential Duties and Responsibilities:
Financial Management
- Assist the Business and Finance Director with accounting and business systems, including
managing accounts payable and receivable processes, ensuring accuracy and timeliness.
- Work closely with the Business and Finance Director in budget preparation and monitoring.
- Process payroll and maintain accurate records of employee compensation and benefits.
- Assist the Business and Finance Director in preparing financial reports and statements for
internal and external stakeholders.
- Assist in grant management, including tracking expenses and preparing financial reports for
funders.
- Assist in administering benefits plans including 401K, health and dental, and vacation.
Participate in renewal discussions with insurance agents and other vendors and assist in
communicating plan changes and enrollment process.
- Help oversee human resources files in compliance with state and federal regulations.
- Assist with providing direct oversight of external audits and state submissions as required by
law.
Facilities Management
- Communicate with facilities vendors regarding cleaning, maintenance, and service calls.
- Schedule Safety training and perform monthly reviews and ensure that the organization is up
to date with inspections with the City of Lowell.
Administrative Support
- Provide administrative support to various departments as needed, including scheduling
meetings, organizing events, and maintaining office supplies.
- Assist in managing vendor relationships and negotiating contracts to ensure cost-
effectiveness.
- Maintain electronic and physical filing systems to ensure efficient and accurate documentation
and record-keeping.
- Assist in the development and implementation of organizational policies and procedures.
- Coordinate with external partners and stakeholders to support program delivery and
organizational objectives.
Operations Oversight
- Oversee day-to-day operations, including facilities management and IT support.
- Monitor and maintain inventory levels for office supplies and equipment.
- Ensure compliance with relevant regulations and organizational policies.
- Identify opportunities for process improvement and efficiency enhancement.
- Collaborate with team members to address operational challenges and achieve organizational
goals.
Human Resources
- Participate in onboarding new employees by training and ensuring set up of phone and email,
preparing new employee files, setting up payroll, and ordering necessary supplies.
- Work with Technology Vendor to complete employee computer set-up.
- Process CORI/SORI Background Check requests.
- Maintain Sales Force database for National Girls Inc.
- Act as liaison between team members and technology vendor to resolve computer network
issues.
- Process bi-weekly payroll.
Qualifications:
- Associate's degree or commensurate in finance, accounting, business administration, or
related field.
- 2+ years of experience in finance, accounting, or operations management, preferably in a
non-profit setting.
- Proficiency in financial software (e.g., QuickBooks), Microsoft Office Suite, and Google
Workspace.
- Strong analytical skills and attention to detail.
- Excellent organizational and time management abilities.
- Effective communication and interpersonal skills.
- Ability to work independently and as part of a team in a fast-paced environment.
