Overview:
The Youth and Family Engagement Specialist will be part of the Community Program team at Big Brothers Big Sisters of Central Mass & MetroWest. The organization?s annual budget is approximately $1,500,000 and we serve approximately 600 one-to-one matches of volunteer mentors (Bigs) and youth (Littles).
This position reports to the VP of Programs and will play a key role in all aspects of recruiting and enrolling Littles in the Community program.
The Specialist monitors and responds to on-line inquiries from children their families who wish to participate as Littles in Community-based programs. The Enrollment Specialist strives to reduce application process time to under 3 months for Littles, and manages the flow of new applications. This role coordinates referral resources, and is the point person for referrals to community resources (the CARES program), and oversees waitlist activities.
Key Responsibilities:
Monitor daily Match Force New community applications; ensure quality of data with up-to-date match and constituent information in Match Force. Assign Little contact and match records to appropriate staff.
Responds to inquiries withing 48 hours and conducts intakes/ ACE interviews.
Conduct Interviews and write Assessments for Littles in the Community program
Works cohesively with the Enrollment manager to create matches.
Provide wait list activities including Big for a day that serve over 100 children
Co-develop with Enrollment Lead youth-voice efforts including convening an advisory group
Responsible for creating YODP for each Little when matched.
Other Responsibilities:
Answer incoming phone calls, redirecting as appropriate
Carry a portfolio of 35 community matches typically community or corporate program types.
Develop or support recruitment activities in conjunction with other team members
Prepare 121 form for weekly meeting with supervisor
Actively participate in weekly program pipeline meetings
Attend all staff meetings
Collaborate with other Match Support Team Members to identify/recommend solutions and best practices
Able to effectively and comfortably 'table' at community or site recruiting events
Attend, support or lead as required, CM or MW program events like field days, STEM events, Holiday Party, field trips, match ups days
Attend train-the-trainer sessions and other learning opportunities.
Develop and maintain a positive relationship with community partners
Utilize productivity tools
Other projects as assigned
Position Competencies:
Passion for the mission of BBBS
Valid driver?s license
One of the following:
Associate?s degree and 2 years of relevant experience
Bachelor?s Degree (or within 6 months of completion)
4 years relevant experience
Proficiency in Microsoft office suite
Sales Force experience is a plus
Second language skills a plus
Other
Some evening and weekend work is required.
Some light lifting is required (under 50 pounds).
Background checks required upon hire and every 2-3 years
Candidate must have reliable transportation to all work locations.
Training will be provided, including assigned training videos through The Learning Exchange, professional development guidance from supervisors, and, if applicable, shadowing a coworker or coworkers who carry similar responsibilities.
Probationary Period:
There will be a 90 day probationary period wherein the employee and employer hold the right to determine if the position is the right fit.
After the probationary period, employees in good standing may request remote work arrangements for one or two days per week, generally Mondays or Fridays.
